Define the job of the message
Write down what the reader needs to know or do. Identify who needs the information, when it becomes useful and who can answer questions. For an official notice, the association should establish the approved content and distribution instructions with its responsible advisers.
A printed newsletter is useful for a collection of updates. A short flyer can highlight one event or action. An urgent change may need the association’s established immediate communication process rather than waiting for the next print run.
Keep one approved source
When information appears in print, email and on a website, use the same approved facts. Check dates, locations, contact names and any response instructions across versions. If plans change, identify who will update each channel.
A shorter digital reminder can point to fuller information, but it should not contradict the printed notice. Confirm whether a revised printed piece is needed instead of assuming an online correction reaches everyone.
Make information accessible to use
- Use descriptive headings and short paragraphs.
- Put dates and requested actions where they are easy to find.
- Provide a readable contact or web address alongside a QR code.
- Ask about readers’ actual needs rather than guessing from age or household type.
- Offer a clear way to request information or report a problem.
Different channels can complement one another, but neither mail nor email guarantees that every recipient will receive or read a message. Keep distribution records separate from assumptions about readership.
Review the plan after use
Look at returned mail, repeated questions and corrections. These can show where the recipient list or wording needs attention. A rise in event attendance alone does not establish that a particular flyer caused it.
For recurring work, assign a content owner, list owner and final approval contact. Budget for the actual design, printing, assembly and distribution work rather than treating communication as only a paper expense.
