Preparing an HOA financial report mailing

An HOA financial report mailing starts with the approved report, not the printer settings. Before requesting production, identify which documents belong in the packet, who has approved them and which recipient list the association intends to use.

The print shop can help prepare the physical mailing. The association and its advisers determine the required content, recipients and timing. A printed packet is not evidence that the underlying financial work has been audited or approved.

Confirm what belongs in the packet

Prepare a contents list in reading order. It might include a cover letter, an accountant’s report, financial statements and explanatory material. Use the association’s approved package instructions; do not add or omit documents merely to reach a convenient page count.

  • Give each file a clear name and revision date.
  • Record its page count, including intentional blank pages.
  • Identify documents that must remain together or start on a new sheet.
  • Name one person who can approve the complete production proof.

A cover letter should explain what the reader is receiving and where to direct questions. Financial questions should go to the association’s designated contact, not to the print-production contact.

Keep figures readable at the finished size

Small spreadsheet text often becomes difficult to read when a report is reduced to fit a page. Check column headings, totals, footnotes and negative numbers on a full-size printout. Where a table is too wide, ask about a different page orientation or layout before approving a smaller type size.

Preserve the approved wording and figures during layout. If a discrepancy appears, send it to the document owner for correction and obtain an updated file. Do not silently revise financial information at the proof stage.

Separate packet quantity from mailing quantity

Confirm the number of addressed packets, any office copies and any additional sets. Ask the list owner to review duplicate entries and changed addresses. A count of homes alone may not describe the approved recipient list.

Specify whether the quote should cover printing only or also folding, assembly, envelopes and mailing preparation. Ask what postage, delivery arrangements and completion information are included. Avoid comparing one printer’s complete packet quote with another’s print-only total.

Keep a useful handoff record

Retain the approved PDF version, final contents list, approved quantity and written production instructions in the association’s own records. After the job, ask which completion details the shop can provide. Production completion, postal handoff and delivery to individual recipients are different events.

For the physical assembly details, see our HOA document packet checklist. When requesting a quote, include the full packet and identify any dates that still need to be confirmed.

Have a document or packet to print?

Share the approved files, quantity and assembly needs. If the layout is still in progress, explain what remains to be prepared.
